To draft the agreement, we would like to receive the following information:

• A recent Chamber of Commerce extract (not older than 3 months)
• A copy of a valid identity document
• Your phone number
• Your email address for correspondence and invoicing
• The desired location and start date
• A signed and dated organizational chart (if applicable)
• A UBO extract from the Chamber of Commerce (if applicable)

As a provider of Virtual Office services , Frame Offices is legally obliged to verify every customer via a Know Your Customer (KYC) check.

During this check, we request additional information about your company, business activities, and ownership structure. Based on this information, we verify the identity of our customers and assess any potential risks.

This procedure helps prevent fraud, money laundering, and other undesirable or illegal activities. In this way, we ensure safe and reliable service for all our customers.

Are you not yet registered with the Chamber of Commerce? No problem. We can support you with this by drafting a concept agreement andleidenthe letter for your appointment at the Chamber of Commerce. As soon as the registration is completed, we will finalize the agreement.

Frame Offices supports Dutch owners during the Chamber of Commerce registration process. Foreign companies must first complete the registration independently.

After a successful registration, we are of course happy to assist with changing the business address to a Frame Offices location.

Depending on the business structure, we may ask for:

A valid identification document of the driver(s)

A UBO extract

Yes. With a Virtual Office from Frame Offices, you register your business at a business address in Rotterdam LittleC. This provides you with a professional business location while allowing you to remain flexible regarding where you work. We support you during the registration process and provide you with the necessary documentation.

The standard term of a Virtual Office agreement is 12 months. Upon expiration of this contract period, the agreement is automatically renewed for successive periods of 12 months, unless terminated in a timely manner in accordance with the applicable terms and conditions.

A notice period of three months applies to a Virtual Office agreement. To terminate the agreement at the end of the current contract period, we kindly request that you give notice of termination no later than three months before the end date of the agreement.

If the notice of termination is not received in time, the agreement will be automatically renewed in accordance with the applicable terms and conditions.

An application can usually be completed within five working days. This depends on the speed with which the required documentation for the KYC check is provided and payment is received.

Yes, that is possible. However, we do require some documents to process the application and comply with our legal obligations.

To draft a preliminary agreement, we would like to receive one of the following documents:

• A valid Dutch identity document (ID card, passport, or driver's license)
• A recent extract from the Chamber of Commerce (not older than 6 months)

As soon as we have received one of these documents, we can further assess your application.
